About the job

Abu Dhabi Music & Arts Foundation
  • Interacting with guests in a professional and respectful manner and plays an important role in addressing special requests or problems.
  • Helping the founder to plan and organize events, parties, meetings set up.
  • Oversee and participate in proper table settings and entertainment preparations.
  • Overseeing the needs of events, parties and meetings’ attendees.
  • Coordinating with the founder office for planning and organizing traveling arrangements (accommodation, transportation, visa, etc.) inside and outside the country.
  • Schedule and work closely with other staff/team on various household vendors and contractors.
  • Coordinate with the founder's office in receiving the schedule and share it daily with the founder.
  • Escort the founder for meetings, events, doctors’ appointments and any other required visits.
  • Coordinate with the office and review the monthly invoices for personal affairs of the founder and endure that they are properly documented.
  • Perform hospitality services as required (welcoming guests, serving refreshments, etc.).
  • Understand concepts like being anticipatory, friendly but not familiar, protecting the privacy of the founder and guests.
  • Assure that all shipments for the funder arrive on time, proper coordination and supervision of service vendors and/or couriers.
  • Answer phone calls take and messages on behalf of the founder receive guests at the door and supervise the reception of visitors.
  • Oversee and participate in family packing and unpacking for traveling.
  • Coordinate with other house staff as needed (daily operations, office briefings), as well as with other parts of the founder's organization.
  • Will be required to report to ADMAF office, if necessary.
  • Will be required to serve as support in the ADMAF office when required.
  • Always ensure complete confidentiality and professionalism.
  • Any additional personal tasks as per the founder's needs and request
Skills & Knowledge
  • experience in the field of hospitality
  • office management and service skills (more formal background or experience)
  • good social skills and personnel management
  • flexibility with late working hours, weekends and public holidays.
  • ability to work on a variety of projects simultaneously (multi-tasking)
  • ability to complete all given tasks on time
  • proven job reliability, diligence, dedication, and attention to details
  • required to travel abroad (overseas)
computer skills: knowledge of basic Microsoft Office (Word, Excel, PowerPoint, Internet – Outlook, Zoom, Microsoft team, Skype, etc.)
