POSITION PURPOSE
Provide high quality and professional customer service to students, clients and all other visitors or guests of IDP offices. Assist in maintaining effective administrative and office systems to ensure the smooth running of the office operations. Provide comprehensive administrative support to IDP staff with a strong focus on quality and accuracy.

Customer Service
- Welcome visitors and guests in a friendly and professional manner and direct them to appropriate IDP staff.
- Register walk-in and call-in students on IDP’s Client Relation Management (CRM) system and assign these contacts to counsellors.
- Answer all incoming calls from the main office content number and redirect to IDP staff as required.
- Monitor the generic office email account and distribute received messages to appropriate staff and /or other offices as required.
Operations Support
- Data entry into CRM system.
- Support counsellors on submitting university applications
- Follow-up with the universities on application status
- Respond to student queries on phone/ WhatsApp

- Unpack institution brochures and marketing materials and inform counsellors of updated materials.
- Prepare and maintain marketing and other materials required for conferences and / or events.
- Package and send marketing materials when required for promotional purposes.
- Assist in the planning and preparation of meetings, conferences and conference telephone calls.
- Identify and leverage opportunities to increase cooperation, efficiency and operational effectiveness between IDP’s student placement and IELTS operations.
Administration
- Prepare payment vouchers and / or process invoices.
- Arrange outgoing courier and mail pickups.
- Coordinate deliveries and distribution of incoming mail.
- Maintain updated copies of procedures manuals, forms and templates for use in the office.
- Monitor stationery stock and other office supplies and purchase as required (within agreed budget).
- Ensure reception, stationery / photocopy area, pantry and other designated office areas are always clean and tidy.
- Responsible for management of office petty cash.
- Assist with other administrative support tasks as directed by the IELTS Test Centre Administrator, Business Unit Manager and / or Operations Manager.

Essential requirements:
- Must have your own visa or sponsor's visa as this is for a temporary job.
- Educated to bachelor’s degree level or equivalent.
- Fluent in English.
- Receptionist / administration experience in a customer facing capacity.
- Customer focussed, with a passion for providing outstanding service.
- Excellent planning and organising skills with the ability to manage multiple competing priorities.
- Excellent communication skills – written, verbal and listening.
- Committed to continual learning and uptake of new / different tasks.
- Ability to proactively identify, analyse and solve problems effectively.
- Word processing skills and familiarity with relevant software packages.
- Strong interpersonal skills.
- Effective at working as part of a team and independently.
- Strong IT skills – Microsoft Office suite, CRM systems

- Experience of working in international education sector.
